Terms & Conditions

These Terms & Conditions apply to all events organised by Whitfield Events, including but not limited to markets, food festivals, and Christmas markets. By applying for a stall, you agree to abide by the following conditions:

Application & Booking

  • All requested information must be provided in full.

  • Applications must be received at least 1 month prior to the event to allow for planning and promotion.

  • Stalls are allocated on a first-come, first-served basis once full payment has been received.

  • The organisers reserve the right to refuse applications in cases of conflict of interest or if the applicant does not meet event requirements.

Insurance & Certification

  • A copy of valid Public Liability Insurance is required from all stallholders (essential).

  • Food vendors must provide a copy of their Food Hygiene Certificate.

  • If selling alcohol, stallholders must provide a copy of their Personal Licence for our records. The event itself will be licensed, so a separate TENS is not required.

Payment Terms

  • Once accepted, an invoice will be issued by Whitfield Events.

  • Payment is non-refundable and must be made within the timeframe stated on the invoice.

  • Failure to pay within the stated time may result in your space being reallocated.

Risk & Liability

  • Stallholders are required to complete a risk assessment for their stall.

  • Whitfield Events and the landowner accept no responsibility for:

    • Damage or loss of goods/equipment.

    • Injury to persons during the event.

  • Stallholders must ensure their stall is safe and does not present hazards to the public.

Stall Set-Up & Presentation

  • Detailed set-up times and instructions will be sent by email before the event.

  • All stalls and displays must be professional, tidy, and well-presented at all times.

  • Items must not be displayed outside the allocated space. Any obstructions will need to be removed.

  • Stallholders must comply with all health and safety requirements outlined by the organisers.

Event Operation & Conduct

  • Stallholders must remain open for the full duration of the event unless instructed otherwise by organisers.

  • The organisers reserve the right to ask a stallholder to leave if rules are breached or if behaviour is deemed inappropriate or unsafe.

Weather, Cancellation & Force Majeure

  • Every effort will be made to ensure events go ahead.

  • In cases of severe weather or unforeseen circumstances where the event is deemed unsafe, the organisers reserve the right to cancel or close the event at short notice.

  • Notice of cancellation will be given via text, email, and social media where possible.

  • Whitfield Events accepts no liability for stallholder losses (including financial loss) due to cancellation.

Parking & Access

  • Stallholders will be advised of parking arrangements specific to each event in advance.

  • Where possible, organisers will negotiate reduced or free parking, but this cannot be guaranteed.
